HR Manager [Part-Time - 50%] (f/m/x)

With 140 years of heritage and over 1,900 passionate individuals across 20 countries, we’re excited to continue our journey forward — and we’re now expanding our presence with a new Business Service Center in Warsaw, Poland, a key hub primarily for our growing Digital & Tech-squads.

We are offering a part-time (50%) hybrid role, with visits to Warsaw office and on the basis of job contract (Umowa o Pracę).

Your main mission will be to manage HR operations for the Polish entity by ensuring compliance with Polish labour law, maintaining accurate employment documentation, coordinating all employee lifecycle processes, and collaborating effectively with outsourced payroll and external providers.


Your contribution:

HR Operations & Compliance

  • Ensure full compliance with Polish Labour Code and employer obligations.
  • Maintain complete personnel files and legally required documentation.
  • Monitor labour law changes and implement updates.
  • Support audits and labour inspections (PIP).

Employee Lifecycle Administration

  • Prepare employment contracts, annexes, and required employment documents.
  • Manage onboarding documentation and data collection.
  • Administer job changes, salary updates, and employment status changes.
  • Prepare termination documents and manage offboarding.

Payroll Coordination (Outsourced)

  • Provide monthly payroll data: hires, leavers, changes, absences, benefits.
  • Review payroll preview for accuracy and approve for payment.
  • Coordinate with Finance on salary payments.
  • Provide employee data needed for ZUS registrations/deregistrations.

Working Time & Absence Tracking

  • Maintain records of working time, overtime, and absences.
  • Approve and track vacation, sick leave, and parental leave.
  • Ensure compliance with working time regulations.

OHS / BHP

  • Arrange mandatory medical examinations.
  • Coordinate required OHS/BHP and fire safety training.
  • Ensure workplace safety standards in the coworking environment.

Benefits Administration

  • Select and manage benefit providers (medical, sport card, insurance).
  • Handle employee enrolments and changes; communicate to payroll provider.

Reporting & Collaboration

  • Prepare regular HR reports (headcount, absences, changes).
  • Cooperate with Finance on payroll cost data and budgeting.
  • Support local compliance aspects of global HR processes.

Employee Engagement & Development

  • Drive engagement through surveys, change communication, and internal messaging.
  • Manage training programs: communicate availability, assess needs, and deliver onboarding.
  • Support employer branding by aligning internal and external messaging.


You will fit well to our squad if:
 

  • You hold a Bachelor’s or Master’s degree in HR, Law, Business Administration, or a related field.
  • You have 3–5+ years of HR experience in Poland, preferably within a small or medium-sized organisation.
  • You have strong knowledge of the Polish Labour Code, ZUS processes, and HR documentation requirements.
  • You have experience collaborating with outsourced payroll providers in Poland.
  • You have an excellent understanding of employment administration and compliance.
  • You have strong attention to detail and accuracy in HR documentation.
  • You are able to work independently and structure HR operations for a newly established entity.
  • You have strong stakeholder management skills, working effectively with global HR, Finance teams, and external vendors.
  • You have excellent written and verbal communication skills in both Polish and English.
  • You have experience in a tech or engineering environment, which is a plus.
