Join our vibrant team as an Executive Assistant C-level (80-100%) (f/m/x) to be part of something extraordinary!  

You will provide high-level executive support to several members of the Executive Committee, with a primary focus on supporting the Chief Operations Officer (80%) and the Chief Marketing Officer (20%). 

You will play a key role in ensuring the smooth coordination of executive activities across the Operations and Marketing departments by managing schedules, organizing travel and events, coordinating meetings, and serving as a trusted administrative partner. 

This position is based between La Chaux-de-Fonds and Grenchen, with one day per week in Zurich

Your Contribution: 

Coordination and organization of visits, business travel, meetings, and events 

  • You will plan and coordinate business travel, including itineraries, flights, hotels, transfers, budgets, and visas when required, based on priorities and availability. 
  • You will organize the logistics of internal and external meetings, visits, and events (Supplier Days, Executive Committees, customer events, Marketing Cockpit meetings, etc.). 
  • You will prepare presentations, meeting materials, and documentation, and welcome participants. 
  • You will take meeting minutes during key meetings. 

Calendar management and administrative coordination 

  • You will proactively manage and synchronize the calendars of several Executive Committee members, considering priorities, requests, and recurring meetings. 
  • You will coordinate meetings, including scheduling, sending invitations, booking meeting rooms, preparing documentation, and drafting or following up on meeting minutes. 
  • You will manage and monitor incoming requests, correspondence, and enquiries, ensuring an initial level of screening and prioritization. 
  • You will follow up on action items with the relevant stakeholders to ensure timely completion. 

Administrative follow-up and departmental support  

  • You will provide administrative support for departmental activities, including budget tracking and reporting. 
  • You will provide administrative and organizational support to Project Managers on cross-functional initiatives. 
  • You will provide ad hoc administrative support to Executive Committee members as required. 

Facilitating internal and external communication

  • You will communicate in a clear, concise, and structured manner with a wide range of stakeholders. 
  • You will collaborate with Directors, Human Resources, and stakeholders across the organization.
  • You will liaise with suppliers, institutional partners, and external service providers.

You will fit well to our squad if: 

  • You have at least 10 years of experience as an Executive Assistant supporting senior leadership or Executive Committee members. 
  • You have excellent communication skills and the ability to interact confidently with stakeholders at all organizational levels, both internally and externally. 
  • You are highly proficient in Microsoft Office (Outlook, PowerPoint, Excel, and Word) and collaborative tools such as SharePoint. You also have experience with reporting tools and data analysis. 
  • You hold a degree or certification in Executive Assistance, Business Administration, or an equivalent field. 
  • You are fluent in both French and English. 
  • You have previous experience in an international environment, ideally within the luxury industry. 
  • You have experience organizing executive-level meetings and corporate events, and are comfortable representing senior management professionally. 
  • Nice to have: Intermediate proficiency in German, experience in the watchmaking industry, and knowledge of SAP or other ERP systems.
